Billing Invoices
Invoices should be billed at 1/10th of an hour increments.
Show How Funds Were Used
When submitting a monthly invoice for an account with retainer, show how the funds were used.
Where to Email Your Invoice
E-mail your monthly invoice along with copies of all receipts for expenses to finance@roundtablegroup.com with a copy to your Engagement Specialist. Please include the RTG case number on your invoice.
Billing Expectations
In a perfect world, our clients would meet the usual 30-day billing terms. However, what our 30 years of experience have shown us is that it usually takes on average 60 days for the actual payment to be received. By following our billing guidelines, you can help us collect and issue payment to you faster.
We promptly send your invoice to the client, usually within one business day. Delays may occur after we submit your invoice for some of the following scenarios:
The attorney reviews the invoices prior to sending them to the end client.
The attorney may batch your invoice in with the firm’s invoice at the end of the month or the end client’s own payment guidelines.
If the end client pays the law firm, then the law firm needs to send payment to us.
If there are any questions on the invoice, that can add time as well.
Once we receive payment, we promptly pay you, usually within one business day.
Remember, we are pay-on-pay, so we pay you as soon as we are paid.
Payment Issuance
A W9 must be on file with Round Table Group for payment issuance. To obtain the W9 form, follow the secure link on our website: roundtablegroup.com/W9-EFT-forms.
Direct deposits require one of the following: a voided check, bank statement or deposit slip.
We recommend signing up for electronic ACH deposit of your payments because this will avoid postal service delays and lost or stolen checks.
Please note that as part of our fraud prevention process, we verify all banking information with you by telephone call prior to issuing electronic payment. Don’t forget to include the W9.
Communication Expectations
The expert and client are responsible for working directly with one another regarding the scope of work, time spent, deadlines, and other issues relating to the expert’s work on the matter.
If you discuss an estimate with the client, even offhand, make sure the estimate is in hours, not dollars. That is clear for all involved as you may have expenses, and we add a fee onto your hourly rate. Our clients are aware of this but tend to assume any estimate you give includes it. The attorney and or the client will likely remember and be planning based on this estimate. Do not go beyond this estimate without receiving explicit permission in writing from the attorney.
Frequent communication is essential on these issues to ensure a successful engagement at the Round Table Group.
